Job Description
Project Administrator & Divisional Accountant 
Location: Healdsburg, California

Replay is looking for a Project Administrator & Divisional Accountant to join the Healdsburg project team. This well-rounded individual will work closely with all members of the Replay Healdsburg team in multiple capacities with many opportunities to learn and grow as the project progresses. Replay is looking for someone who is adaptable, organized, detail oriented, and enjoys working in an entrepreneurial team environment.

Reporting to the Managing Director, you will be involved in many aspects of the project including but not limited to:

Project Administrator
  • Plans and coordinates project scheduling, budgeting, and administrative tasks
  • Supports team members by facilitating project logistics such as meetings, conference calls, etc
  • Schedule and coordinate all materials for project meetings including distribution of agendas and minutes
  • Take meeting minutes and action items during meetings and performs basic follow-up
  • Assists in preparation and development of presentations
  • Assistance with travel arrangements for local staff and out of town guests
  • Event host, coordination of catering, invitations, open houses, focus groups, food services, event providers
  • Create, organize, and maintain the administrative structure (online and hard document storage)
  • Proof all written materials for spelling, grammar, structure, and consistency
  • Administrative assistance to team members including expense reports
  • General office management

Divisional Accountant:
  • Accounts payable/accounts receivable review
  • Full cycle corporate accounting, including maintaining the accounting records for multiple entities
  • Bank and GL reconciliations
  • Assisting in the set-up of systems and processes to enable efficient and timely financial reporting
  • Assisting with the preparation of budgets and cash flow forecasts
  • Ad hoc accounting and administrative tasks
Responsibilities may be expanded or modified to meet the needs of the team as the project evolves. Market compensation and benefits will be offered based upon the level of experience and demonstrated success in prior positions.

Skill Requirements
  • Experience in an entrepreneurial environment which requires multi-tasking
  • Professional written and verbal communication and interpersonal skills
  • Excellent organizational skills with the ability to simultaneously manage multiple projects
  • Highly methodical with strong attention to detail
  • Proficiency with Sage 50, 300 and system conversions would be an asset
  • Proficiency with Microsoft Word, Powerpoint, Excel
  • A proven self-starter who learns quickly
  • Strong team player
  • Self-motivated, proactive, and resourceful
  • Strong work ethic with a proven ability to produce quality materials while meeting deadlines
  • Unquestionable integrity
